Context
Realize produces learning materials for companies and educational institutions. With generative AI, the question was no longer whether AI would come into the product, but how, without taking away the teams' control over what is taught.
The problem
Generating text with AI is easy. The hard part is generating material that respects the audience, the course goal and the institution's voice, and that the team can review.
- 01
Open-ended requests to the AI gave different results from one course to the next.
- 02
It was unclear where each material stood and what was left to do.
- 03
When a generation failed, the work stopped with no way back.
How I solved it[04]
- 01
Swap the prompt for instructional design questions
Instead of an open field, creation became a 6-step flow: audience, format, hours or number of pages, business goal, tone of voice, language and complexity. These are the questions an instructional designer would ask, and they are what guides the AI.
- 02
Keep the choices in sight
A summary on the side follows along and lets you edit any step before finishing. People never lose sight of what they are asking for.
- 03
Make progress readable
Each project is split into modules with clear statuses: done, in progress with time left, pending and failed. An error comes with the action to try again, right there.
- 04
AI in service of the flow
I defined how AI would be integrated, putting concrete value first: it starts from the team's choices and delivers material ready to review and export.
Screens[03]

Outcome
10x
Up to 10 times faster to produce learning materials, with visual consistency.
A single way to ask the AI for content, which makes results predictable from one course to the next.
What I learned
With AI, much of the design moves off the screen and into the questions. The better the structure of the request, the less the result depends on luck.
